Choosing residence management software in the UAE
A practical checklist from more than ten years in luxury hotel and residence operations: what a property team needs from a management system, what to ask vendors and how to run a first-property pilot.

When spreadsheets and chat groups stop working
In many UAE residences, requests arrive through WhatsApp, phone calls and the front desk, while the record lives in spreadsheets and email. That works until the team grows, a shift changes or an owner asks for the history of a unit.
At that point nobody can show who did what, when, and with what evidence. Preventive maintenance slips behind urgent jobs, contractor renewals are missed and management reports take days to assemble. A residence management system replaces those scattered records with one shared queue.
The modules that matter most
Maintenance requests and work orders
Every request needs a priority, an owner, a response target and clear stages from logged to closed. Closure should include notes and photo evidence, so the next shift and the resident can see what was done.
Preventive maintenance and assets
An asset register with service dates, inspection schedules and annual maintenance contracts keeps lifts, chillers, pumps and fire systems on plan. Renewal dates should raise alerts before a contract lapses.
Units, residents and owners
Unit status, tenant and owner relationships, move-in and move-out records, keys, access cards and meter readings belong in the same system as maintenance, because most requests start with a unit.
Amenities and front-desk services
Pool, gym and event-space bookings need rules, capacity and a clear record of who booked what. Front-desk teams also need parcel, visitor and service-request logs that do not depend on one person’s notebook.
Daily handover and accountability
Shift handover notes that the next team must acknowledge prevent the classic gap between night and morning shifts. An activity history shows who changed each record.
Management reporting
Owners, developers and owners’ associations expect regular figures: open and overdue work, response performance, preventive work completed and maintenance costs. The system should produce these without manual spreadsheets.
Questions to ask any software vendor
- Does the system work in Arabic and English for staff and residents?
- Where is our data hosted, and can we export all of it at any time?
- How are roles and permissions set for staff, contractors and management?
- Does it cover move-in, move-out, keys and access cards, or only maintenance?
- What does setup include: data import, service targets and team training?
- What is the recurring cost per building or per unit, and what is charged separately?
Start with a pilot on one property
- Choose one building and two or three workflows, usually maintenance requests and preventive work.
- Import only the data the pilot needs: units, key assets and active maintenance contracts.
- Train the front desk, the maintenance team and supervisors together, so everyone uses the same queue.
- Review open work and response times every week during the first month.
- Extend to more buildings or modules once the team uses the system every day.

Is residence management software the same as facilities management software?

Can residents submit requests themselves?
A good system accepts requests from the front desk, a resident portal or messaging, then places them in one queue with the same priority rules and response targets.
Do we have to replace our current tools on day one?
No. A pilot can run beside existing tools for the chosen workflows. Data import, integrations and the switch-over plan are agreed in the implementation proposal.
